Don't Build a Mousetrap: Realigning Your Real Estate Business with Seychelle Van Poole
Jul 02, 2026In this episode of Agent Success Secrets, I had the absolute joy of interviewing my longtime friend Seychelle Van Poole. Seychelle is the visionary Team Lead of Van Poole Properties in the Dallas/Fort Worth market.
Seychelle is a true force in our industry. Her real estate business is celebrating its 25th anniversary this year. Her team boasts incredible retention numbers, with core members staying by her side for 16, 19, and even 22 years.
However, behind the massive production, the investment properties, and the long-term success lay a story of intense grinding, profound life transitions, and an eventual path toward true alignment.
The 18-Year Mission and the Turning Point
For the first 18 years of her career, Seychelle was driven by a powerful external mission. She stepped in to lead the family business in 2008 and officially bought out her mother in 2022. Concurrently, she and her husband Nick walked through an arduous 18-year journey supporting her father through Parkinson's disease.
Her schedule was built entirely around providing financial security, protecting her family, and pushing through the chaos of everyday transactions. When her father passed away, the team structure shifted, and the pandemic hit, Seychelle looked up and realized she was completely charred.
"We were like the little lumps of coal left over in a bonfire," Seychelle explains. "The kind that are so burnt that if you touch them, they just dissolve into dust. I was faced with a question I had never asked in my adult life: What do I actually want?"
Learning the Power of Boundary Therapy
When you reach total exhaustion, your first instinct might be to burn the whole business down. Seychelle admits she considered it. Instead, she leaned into deep personal work, counseling, and what she calls boundary therapy.
She had to unlearn the heavy conditioning of what the real estate industry tells you that you need to do to be successful. She discovered that wealth is not just a high gross commission income. A wealthy life is about funding your joy, having a deeply meaningful relationship with your children, and showing up fully as a spouse.
The Energy-Stacked Schedule and the "White Space" Day
One of the biggest operational transformations for Van Poole Properties came from a calendar audit. Seychelle used to keep her schedule perfectly stacked and identical across every day of the week, leaving zero breathing room.
Following the inspiration of a close friend, she completely restructured her calendar to match her internal energy flows.
Step 1: Front-Load the Leading Dominoes
Seychelle realized her energy is highest at the beginning of the week. She now stacks her hardest, most demanding business tasks on Monday and Tuesday.
Step 2: Create a Virtual Ecosystem
During the pandemic, the team sold their physical office space and committed to a completely virtual model. This lack of a commute and office overhead instantly gave time back to the entire organization.
Step 3: Schedule the "White Space"
Seychelle implemented a dedicated "White Space" day into her week. This is an open block with no scheduled appointments, allowing her time to focus on the creative, marketing, and relationship-driven aspects of the business that built her success in the first place.
Today, she runs her DFW team seamlessly from a lake house in Northern Michigan during June and July. By living authentically, she gave her team members permission to do the same. They started block-scheduling family breakfasts, school drop-offs, and workouts. The most surprising result? Business did not drop, but the quality of life soared.
Dropping the Social Media Imposter Syndrome
As women, moms, wives, and business leaders, it is incredibly easy to scroll through social media and fall into the comparison trap. We look at other mega-agents and assume we are not doing enough.
Seychelle treats this mindset hurdle with simple perspective. She looks closely at her friend Sarah Reynolds, a phenomenal leader building a massive team using a structured, in-person office model with specific cadences.
"If I constantly compared what Sarah is building to what I want to build, I would not be showing up as an authentic person or a good friend," Seychelle says. "Both paths can be awesome. Both can be fantastic. You have to clear out the imposter syndrome and define what your individual joy looks like."
The "Olympics" Conversation with Team Members
Because of her industry status, Seychelle frequently coaches younger, inexperienced agents who want the fast track to a high income. She anchors these coaching conversations around one strict question: What do you want your net income to look like, and what are you actually willing to do to get it?
When a new team member declared, "I want to be you," Seychelle gave him a reality check. She explained that matching her path meant working 12 to 14 hours a day, six days a week, with no vacations for the next five years.
After a month of reflection, the agent returned and admitted he did not want that lifestyle. He wanted a high quality of life and a solid income using the systems Seychelle provided. By having that super honest conversation, they removed the false expectations and created a sustainable plan for his career.
Small Tweaks and the Leading Domino
In a shifting real estate market, agents are often tempted to change their entire business model out of panic. Seychelle credits her administrative team for teaching her that real magic happens through small tweaks over time. You test a minor adjustment, look at the data, tweak it again, and let it compound.
If you want a massive production result over the next 90 days, you must put pressure on your leading domino. In a referral and relationship-based business, that domino is the number of quality, voice-to-voice conversations you have with people who already know, like, and trust you.
Van Poole Properties Database Breakdown:
- The Broad Database: 10,000 contacts who receive educational video emails three times a month to keep the network warm.
- The Tight Database: 3,200 core relationships that receive regular mail, texts, and market education.
- The Event Circle: 1,000 clients who are invited to high-value team events twice a year.
- The VIP Circle: 150 top advocates who receive quarterly calls and intentional personal gifts.
Right now, the team is actively calling clients who bought homes over the last three years to educate them on the current market values. There is no silver bullet or magic pill. If you do not have enough people to call, database growth is your leading domino. If you have the people but have not spoken to them, picking up the phone is your leading domino.
A Practical Exercise for Real Estate Burnout
If you are currently feeling stuck or like you have lost your sense of self inside your business, Seychelle offers a simple, old-school piece of advice: Go back to a paper calendar and a pencil.
Take a look at your schedule two weeks in advance. Look at every single minute and investigate how your energy is being spent. If your weeks are completely text-heavy and stacked with no breathing space, start erasing the non-essentials.
Move your calendar into alignment with your body. Shift your hardest conversations to your high-energy days and protect your peace on your low-energy days.
"If you are not careful, you will build a mousetrap for yourself," Seychelle warns. "You will paint yourself into a business that you always thought you wanted, only to turn around and realize you hate how you structured it. It is entirely okay to pause, take a beat, and restructure."
